What PG management software is actually for
Search for PG management software and you will find long feature lists. Most PG owners do not need a long list. They need the handful of jobs that eat their week — knowing which bed is free, raising rent, matching UPI payments, answering complaints, paying staff — done in one place the manager will actually open every morning.
A simple test: if your manager went on leave tomorrow, could someone else run the PG from what is written down? In most PGs the honest answer is no. The beds are in the warden's head, the rent is in a notebook, the payments are in the owner's UPI app and the complaints are in a WhatsApp group.
This guide takes those jobs one at a time: the problem as it shows up in an Indian PG or hostel, what any hostel management software in India should do about it, and how StayOne does it. Use it as a checklist whichever app you choose.
Beds and residents: one board instead of a walk around the building
The problem. Someone calls asking for a double-sharing AC bed. The manager says "let me check" and walks the floors, or phones the warden. Meanwhile the owner and the manager have each promised the same third-floor bed to a different person.
What software should do. Show every floor, room and bed with its state — vacant, occupied, on notice or reserved — on one screen, and refuse to put a second person in a bed that is already taken. Adding a new resident should take a minute, not a long form at the desk.
- The Rooms board shows floors, rooms and beds, with filters for sharing type (1, 2, 3 sharing and so on). Rooms are marked AC or non-AC.
- A bed holds one resident: StayOne refuses a double booking. A bed can be reserved for someone moving in next week.
- Adding a resident is three steps — name and phone, then the bed, then an optional photo and ID proof that stays on their file. Moving someone to another bed is one action.
There is more on setting this up in our guide to PG bed management.
Rent: a bill for every resident, every month
The problem. Rent is "due around the 5th". Some residents joined mid-month, a few got a rent increase, and three share an electricity bill for their room. By the 10th nobody can say who still owes how much.
What software should do. Give every resident a rent day, raise a bill for each one every month, charge the first month only for the days actually stayed, and keep one list of who is paid, part paid, unpaid or overdue. Extra charges — a room's electricity bill, a broken geyser — should land on the right residents' dues without anyone reaching for a calculator.
- Each resident has a rent day, and the first month is prorated automatically.
- Bill all raises the month's rent for everyone at once, with an optional percentage or flat rent increase.
- Charge room splits a room's electricity, water or repair bill equally among the residents in it, or charges each a set amount. Each resident sees it in their dues and gets a notification.
- The rent roll shows expected, collected and pending for the month, with Paid, Part paid, Unpaid and Overdue filters, and exports to a spreadsheet.
Our guide to collecting PG rent on time walks through a full month, step by step.
Payments: UPI into your own account, a receipt for every rupee
The problem. Residents pay by UPI to the owner's number, cash to the warden, and the odd bank transfer. The owner sees ₹8,500 arrive but not whose it is or which month it is for. The warden's cash gets counted "later".
What software should do. Keep the money going where it already goes — your own UPI ID or bank account — and make sure every payment lands against the right bill with a receipt. Be careful with anything that wants your rent to pass through someone else's account first.
- Residents see their dues next to your UPI ID or bank details and pay your own account. StayOne never holds your money.
- They upload the payment screenshot; the manager checks it in Payments to check and approves it, and a receipt goes out.
- Cash and bank payments are recorded with a receipt, part payments leave the balance open, and the cash book shows what should be in the drawer.
- A reminder goes to a resident in one tap. Automatic reminders on the rent day, three days late and a week late can be switched on.
Mistakes are normal in the first month on any system. In StayOne, owners and managers can undo Bill all, a collection, a write-off, a move-in, a move-out or a refund at any time. The receipt is marked reversed, never deleted, so the history stays honest.
Complaints, notices and the mess
The problem. "Geyser in 204 not working" arrives as a WhatsApp message at 11 pm, gets a thumbs-up and is forgotten. A week later the resident is angry, and the owner hears about it for the first time when they move out.
What software should do. Let residents report problems from their own phone, put urgent ones first, and keep each one open until somebody marks it done. Notices — water cut tomorrow, pest control on Sunday — should reach every resident, not only the ones who read the group.
In StayOne, residents raise complaints from their phone, urgent ones come first, and each one is tracked until it is resolved. You can send a notice to all residents, publish the mess menu and collect mess feedback, so the food conversation is about what residents actually said rather than the loudest voice at dinner.
Staff, expenses and whether the PG made money
The problem. The cook took an advance, the cleaner was absent four days, the plumber was paid in cash, and at month end the owner works out salaries and profit on the back of an envelope — if at all.
What software should do. Keep staff attendance and advances through the month, so salary is a calculation and not a negotiation. Record expenses as they happen, so the month's profit is a number you can look up rather than a feeling.
StayOne keeps staff attendance and works out salary at month end, with days marked absent taken off, and records each salary paid. Expenses go in as they are paid, you see expenses and profit for every month, and reports export to Excel for your CA.
Owners, managers and residents each see their own part
The problem. One login shared by everyone, or the owner's own phone handed to the manager. Nobody knows who changed what, and a manager at one property can see the accounts of the other.
What software should do. Give each person their own sign-in and show them only what their role needs. An owner with more than one property should see all of them together; a manager only their hostel; a resident only their own dues and complaints. A good PG management app should also work in the language your staff actually think in.
- The owner sees every property in one portfolio. Managers see only their hostel, and access is scoped by role.
- Everyone signs in with their phone number and a 6-digit PIN.
- Each person picks English, हिन्दी or తెలుగు for themselves, so the manager can work in Telugu while the owner reads reports in English.
- It runs as an Android app from Google Play and in any web browser, on a phone or a laptop. The iPhone app is coming soon.
Notebook vs spreadsheet vs PG management software
Not every PG needs software on day one. A ten-bed PG run by the owner in person can live in a notebook. The trouble starts when there is a manager between you and the residents, or a second property. Here is how the three compare on the jobs above.
| Job | Notebook | Spreadsheet | PG software |
|---|---|---|---|
| Which bed is free right now | Walk the floors or ask the warden | Right only if someone updated it | Live board: vacant, occupied, on notice, reserved |
| Stopping double-booking | Depends on memory | Nothing stops two names in one bed | Refuses a second resident in a taken bed |
| Raising monthly rent | Write every name, every month | Copy last month's sheet, fix by hand | One tap, first month prorated |
| Who still owes | Count the ticks | Filter, if the sheet is current | Paid, Part paid, Unpaid and Overdue filters |
| Receipts | A receipt book, if anyone uses it | Usually none | A receipt for every payment |
| Matching UPI payments | Scroll the owner's UPI app | Typed in later | Resident uploads screenshot, manager approves |
| Complaints | WhatsApp, easily lost | Rarely tracked | Raised from the resident's phone, tracked to resolved |
| Staff salary | Back pages of the notebook | A separate sheet | Attendance and advances, salary at month end |
| Fixing a mistake | Strike it out | Overwrite it, history lost | Undo; receipts reversed, not deleted |
Questions to ask before you choose
- Does the rent go into my own account, or through theirs?
- Can my manager use it in Telugu or Hindi, on their own phone?
- Can residents use it without installing anything?
- Can I bring my residents in from Excel in one go, with their beds and rent days?
- When something is entered wrongly, can it be undone without losing the history?
- Does every plan include every feature, or are the useful ones extra?
For StayOne the answer to each is yes. You can import residents from an Excel (.xlsx) template — they go straight into their beds with their rent and rent day — and we set up the PG with you. Moving from a sheet? Read how to move your PG from Excel to an app.
The first month is free. After that, StayOne Lite is ₹999 a month for up to 50 beds at one property, and longer plans save more (see all plans). If you would rather talk it through first, WhatsApp or call us on +91 72077 84667.
