Why rent comes in late in most PGs
Talk to any PG owner in Ameerpet, Madhapur or Gachibowli and the same story comes up. Rent is due "around the 5th". Half the residents pay by UPI to the owner, a few hand cash to the warden, two pay part now and part later, and one joined on the 18th and is not sure what they owe. By the 10th nobody can say who is still pending without opening three WhatsApp chats and a notebook.
None of that is a payment problem. It is a record problem, and it has four parts:
- The due date is vague, so "late" is a matter of opinion.
- Bills are not raised — rent is "known", not written down per person per month.
- Payments arrive in many places: UPI to the owner, cash to staff, bank transfers.
- There is no single list of who still owes, so chasing feels personal and awkward.
Fix those four and most of the chasing disappears on its own.
Give every resident one clear rent day
Pick a rule and write it down: either everyone pays on the same day (say the 5th), or each resident pays on the day they moved in. Both work. What does not work is "roughly the start of the month".
For residents who join mid-month, charge the first month for the days they actually stay. Someone moving in on the 18th of a 30-day month owes 13 days, not 30 — say that up front and there is nothing to argue about later.
Each resident has a rent day. Bills are raised on that day, the first month is prorated automatically, and the resident sees the exact amount and due date on their own Pay screen.
Raise every bill at once — and fix mistakes later
The single biggest habit change is to raise a bill for every resident, every month, before anyone pays. A bill is what turns "I think Ravi paid" into "Ravi's October rent: ₹8,500, paid ₹8,500 on 4 Oct, receipt R-1042".
On paper that means a page per month with every bed listed. In a spreadsheet, a row per resident per month. In StayOne it is one button.
- Bill all raises this month's rent for everyone not billed yet. It is safe to press twice.
- Raising rent this month? Add a percentage or a flat amount to the same Bill all.
- Billed the wrong amount? Undo it — any time, not just in the first few minutes.
Let residents pay the way they already pay
Residents in Indian PGs pay by UPI. Do not fight it — just make sure every UPI payment lands against the right bill. The simplest way is to give residents your UPI ID or account details next to their bill, and ask for the payment screenshot.
Cash is fine too, as long as it gets a receipt the moment it changes hands. A receipt protects you as much as the resident: it ends the "I already paid you" conversation.
- Residents see their dues and your UPI details on their Pay screen and pay to your own account — StayOne never holds your money.
- They upload the screenshot; your manager approves it in Payments to check, and the receipt goes out automatically.
- Cash and bank transfers are recorded at the desk with a receipt for every rupee, and the cash book keeps count of what is in the drawer.
Keep one list of who still owes
By the due date you should be able to answer three questions in ten seconds: how much was expected this month, how much has come in, and who exactly is still pending. If answering takes longer, the list is in too many places.
Sort that list into three groups, because each needs a different conversation:
- Unpaid — nothing received yet. A friendly reminder.
- Part paid — something received, a balance open. Agree a date for the rest.
- Overdue — past the rent day. This is the list for the warden today.
The rent roll shows the month's expected, collected and pending amounts, with Paid, Part paid, Unpaid and Overdue filters. The pending count and the pending amount are always about the same people, and you can export the roll to a spreadsheet whenever you like.
Send reminders that do not feel personal
Chasing is awkward because it feels like an accusation. A reminder that goes out the same way to everyone on the due day does not. Agree the schedule once — on the rent day, three days late, a week late — and stick to it.
Send a reminder from any resident's row in one tap; it reaches their phone and sits on their home screen until the bill is paid. Automatic reminders on the rent day, three days late and a week late can be switched on, so nobody at the desk has to remember.
When the records are wrong, fix them without drama
Mistakes happen, especially in the first month on any new system: an import marks everyone as paid, someone is billed twice, a payment goes against the wrong person. What matters is that a correction leaves a trail instead of quietly overwriting the past.
- Never delete a payment — reverse it, so the record shows what happened and when.
- Tell the resident when their balance changes.
- Keep corrections reversible: if you fix something wrongly, you should be able to fix the fix.
Owners and managers can undo Bill all, collections, write-offs, move-ins, move-outs and refunds at any time. Residents brought over from an Excel import as "paid" can be marked Not received in one tap — for one person or everyone.
A monthly rent checklist for PG owners
| When | What to do |
|---|---|
| Start of the month | Raise every resident's bill (Bill all). Apply any rent increase now, not later. |
| Rent day | Reminder to everyone still unpaid. Approve UPI screenshots the same day. |
| Three days later | Second reminder. Part-paid residents: agree a date for the balance. |
| A week late | The warden speaks to the overdue list in person. |
| Month end | Compare expected, collected and pending. Count the cash drawer against the cash book. |
Do this for two months and "who has paid?" stops being a question anyone asks.
